Personal data we collect

Information you provide

The website enquiry form may collect:

  • your name and work email address;
  • your organisation, if provided;
  • the service or subject of interest;
  • your desired timing;
  • the information included in your message; and
  • your acknowledgement of the form's confidentiality warning.

If you communicate with us directly, we may also process your contact details, correspondence, meeting information and other material you choose to provide.

Technical information

When you access the website, the hosting environment or its security systems may record technical connection data such as an IP address, access date and time, requested page, browser or device information, referring page and security events. This information supports website delivery, reliability, troubleshooting and protection against misuse.

Please do not use the enquiry form to send policyholder data, health information, confidential model data, credentials or other sensitive material. We can arrange an appropriate channel if sensitive information becomes necessary for a professional engagement.

04

How and why we use personal data

We may use personal data to:

  • review, route and respond to an enquiry;
  • assess whether and how we may assist;
  • arrange introductory discussions or prepare an engagement proposal;
  • manage professional relationships and correspondence;
  • operate, secure and improve the website;
  • prevent spam, fraud, abuse and security incidents; and
  • comply with legal, regulatory, accounting or professional obligations.

Where the EU or UK GDPR applies, processing may be based on steps requested before entering a contract, performance of a contract, compliance with legal obligations, our legitimate interests in conducting and protecting our professional activities, or consent where consent is specifically requested.

05

Website contact form and Formspree

The enquiry form is provided using Formspree, a service operated by Formspree, Inc. When you submit the form, the information entered in the form and associated technical information are transmitted to Formspree so the submission can be received, stored, protected against abuse and delivered to Arocha & Associates.

Formspree processing

Formspree states that it may collect details including names, email addresses, IP addresses, browser information, access times and referring addresses. It also states that its services use infrastructure in the United States and may involve processing in other countries.

For information about Formspree's practices, international transfers, retention and data requests, review the Formspree Privacy Policy.

If you prefer not to use Formspree, you may contact us directly at info@ArochaAndAssociates.ch .

06

Server logs, analytics and cookies

At the date of this notice, the Arocha & Associates website does not use advertising pixels, behavioural profiling or third-party analytics tools. We do not use non-essential cookies on the A&A pages covered by this notice.

The hosting environment may nevertheless use technical logs and security mechanisms needed to deliver and protect the website. When you submit the enquiry form or follow an external link, the relevant third-party service may use cookies or similar technologies under its own privacy notice.

If analytics, embedded media or other tracking technologies are introduced in the future, this notice and any required consent mechanism will need to be updated before those technologies are activated.

07

Who may receive personal data?

Personal data may be accessible to:

  • authorised persons within Arocha & Associates;
  • website-hosting, email, security and form-processing providers;
  • trusted professional advisers or independent specialists where reasonably necessary to assess or perform work, subject to appropriate confidentiality;
  • accountants, auditors, legal advisers or insurers where necessary; and
  • courts, regulators or authorities where disclosure is legally required.

We do not sell personal data. We do not add contact-form users to marketing lists merely because they submitted an enquiry.

08

International processing

Arocha & Associates is based in Switzerland, but some service providers may process personal data in other countries. In particular, Formspree operates from the United States and uses international infrastructure.

Data-protection standards and rights of public authorities can differ between countries. Where cross-border safeguards are required, we seek to use legally recognised contractual or other protections appropriate to the service and circumstances.

09

How long we retain personal data

We retain enquiry and correspondence data for as long as reasonably necessary to respond, assess a potential engagement, maintain an appropriate business record and protect legitimate interests.

If an enquiry leads to a professional engagement, relevant information may become part of the client or engagement record and may be retained for a longer period to meet contractual, professional, accounting, legal or regulatory requirements. Data may also remain temporarily in backups or in a service provider's systems according to its retention and deletion processes.

Information is deleted, anonymised or restricted when it is no longer required for the applicable purposes, subject to legitimate retention obligations.

10

Security and confidentiality

We use reasonable organisational and technical measures intended to protect personal data from unauthorised access, loss, misuse, alteration or disclosure. Access is limited according to professional and operational need.

No internet transmission or storage system can be guaranteed to be completely secure. For this reason, the website form is intended only for initial contact and not for confidential client data or other sensitive material.

11

Your data-protection rights

Depending on the law applicable to your circumstances, you may have rights to:

  • request information about personal data we process;
  • obtain access to your personal data;
  • request correction of inaccurate information;
  • request deletion where continued retention is not required;
  • object to or request restriction of certain processing;
  • receive certain data in a portable format where applicable; and
  • withdraw consent where processing is based on consent.

These rights may be subject to legal conditions and exceptions. We may need to verify your identity before responding to a request.
